  • Reports to the Dean, Cape May County Campus/Associate Dean, Resource Development
  • Assists the dean in serving as liaison with Cape May County, college departments and the community responding to needs that support the college’s mission and campus objectives
  • Assists dean in the development of new initiatives that promote student engagement and success
  • Researches and identifies prospective private/public partnership opportunities to meet campus goals and assists dean with cultivation activities
  • Assists the dean in campus budget preparation and allocations
  • Provides office support for the dean, to include but not limited to handling telephone communications, greeting and directing visitors, and dealing with administrative problems and inquiries, as appropriate
  • Serves as a primary point of contact and liaison between the dean’s office, students and constituents
  • Composes and prepares written documentation and correspondence; screens and evaluates incoming and outgoing correspondence and prepares responses as appropriate.
  • Schedules and coordinates dean's appointments and travel arrangements, and coordinates and oversees daily office and campus activities including event planning, food service and catering needs
  • Gathers, compiles, enters, and updates databases
  • Establishes and maintains files and records
  • Prepares meeting agendas, takes minutes, and provides administrative support and follow-up on matters arising from meetings as needed.
  • In collaboration with Academic Affairs department, creates and maintains semester classroom grid for scheduled courses to ensure optimal space utilization, maximizing resources
  • Oversees scheduling and manages workflow of faculty support staff/student workers
  • Provides faculty and staff orientation
  • Serves as back-up for faculty support as needed
  • In coordination with College Relations, develops campus promotional messaging for all media formats including Social Media
  • Serves on college-wide committees as needed
  • Assists in marketing activities and community outreach to promote the use of Cape May County Campus for room rentals, meetings, special events and conferences
  • Coordinates all aspects of conference, events and meeting services at the Cape May County campus for internal and external clients, including room scheduling, insurance and contractual documentation, billing, catering and facilities, security and audio/visual/IT needs
  • Maintains client activity records and develops reports demonstrating use of campus
  • Attends on and off site day and evening functions as needed
  • Serves as back-up for Resource Development Associate as needed, assists with data entry and acknowledgement processing for the foundation and college donations
  • Assists with Foundation events and mailings as needed
  • Performs other duties as assigned
Minimum Requirements:
  • Bachelor’s degree
  • Three years of experience in program coordination
  • Experience working with budgets
  • Excellent interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community both internal and external to the college
  • Demonstrated ability to work independently
  • Strong computer skills and facility with Microsoft Office products
  • Knowledge of planning and scheduling techniques
  • Records and database management skills
  • Skill in organizing resources and establishing priorities
  • Ability to create, compose, and edit written materials
  • Knowledge of office management principles and procedures
  • Ability to coordinate and organize meetings and/or special events

This position may require flexible scheduling to include evenings and weekends at any Atlantic Cape location.
